Dear Mr.Sharma,

Last week, you have ordered me to provided suggestions for making changes to our office's front desk area and i am writing in response to this order

A number of complaints have been made by our clients who have come to our office to visit us. they say that there is no proper reply to them from our front desk officer. Also, the clients feel that there are less number of chairs available in the reception.The telephone in the reception desk is under repair and due to the presence of our receptionist once in a blue moon , clients find it difficult to make enquiries. Though many of our clients went back furiously, a few have left feedback in the register placed on our reception desk.

The reception area is essential because, that is the place where clients get answer for their queries and clients have to be directed to the concerned officers only in the reception. Since, reception is the frontmost place in the office, a client's impression about our office is developed in his mind as a result of how he is treated by our receptionist.

In order to develop our reception, the first step ought to be taken is to change the receptionist. If our clients are given proper details through phone regarding the documents that must be brought to our office, it will be easy for them to approach us. Henceforth, the telephone should be repaired first. It is even more good to change the telephone to an intercom which connects to all other staffs in the office. Finally, there must be an increment in the number of chairs in the front desk area.
